What procurement needs before raising the order
Six steps from scope to delivered files, and the answers to the questions a vendor onboarding form asks — published, so nobody has to email for them.
The six steps.
- 01Scope. Sites, deliverables, interval if recurring, and the confidentiality position. A written scope, not a phone call.
- 02Airspace and feasibility. Each address checked against NAV Drone. Where a site sits in controlled airspace, authorisation is filed. Where a site cannot be flown at all, that is said at scoping — not discovered on the day.
- 03Quote. Fee against the scope, with mobilisation stated separately so travel is never buried inside a day rate.
- 04Paperwork. NDA on your paper or ours. Vendor onboarding forms completed. Certification evidence supplied.
- 05Capture. On site, to the agreed specification, with flight logs retained per sortie.
- 06Delivery. Edited files delivered digitally in the agreed formats. Raw files available on request.

Will you sign our non-disclosure agreement?
Yes. Client paper or ours. Site imagery captured under an engagement is treated as client-confidential unless release is agreed in writing, and it is not used as portfolio material without that agreement.
What certification evidence can you supply for vendor onboarding?
A Transport Canada RPAS Pilot Certificate for Advanced Operations, which is the level required to operate in controlled airspace or near bystanders. Certificate evidence is supplied on request as part of onboarding.
How quickly can an engagement start?
Scoping and quoting move at the speed of the brief. reply within one business day on an enquiry. The binding constraint on the first capture date is usually airspace authorisation or weather, and both are established at scoping rather than assumed.
Do you work as a subcontractor under a prime consultant?
Yes. Work is quoted against the prime's scope, delivered to the prime's specification, and invoiced to the prime. The end client relationship stays with the consultancy.
